Staying Safe Together

Creating a healthy, safe, and comfortable environment for our Workshop attendees is our top priority. CAI and the Workshop hosts are monitoring the COVID-19 pandemic and in regular communication with our partners at The Boca Raton and Loudoun County. As information around the virus continues to develop, safety precautions will evolve, incorporating procedures that will further enhance your in-person experience and safety for everyone in attendance.

The Hyatt Regency  team is committed to the meeting and events industry. Guided by their purpose of care and experience delivering world-class hospitality for more than 60 years, Hyatt's Global Care & Cleanliness Commitment builds on our existing rigorous safety and cleanliness protocols and includes: 

  • GBAC STARTM cleanliness and training accreditation process through the Global Biorisk Advisory Council (GBAC) at all Hyatt hotels
  • Trained Hygiene & Wellbeing Leader or team at all locations, responsible for their hotel adhering to new operational protocols and training
  • Cross-functional panel of trusted medical and industry advisors—including experts from Cleveland Clinic—to help us fine-tune safety protocols and consider various aspects of the entire hotel experience.

Loudoun County and Commonwealth of Virginia Safety Guidelines

Loudoun County requires masks or face coverings for unvaccinated individuals. More information regarding COVID-19 and safety protocols, may be found here.

The Commonwealth of Virginia recommends fully vaccinated individuals wear a mask in indoor public settings in high transmission areas. This is not required in outdoor settings. If you are not fully vaccinated, you must wear a mask and practice physical distancing in all indoor public settings and crowded outdoor settings based on CDC guidelines.

CAI Code of Conducts for COVID & Anti-Harassment: CAI - COVID-19 Code of Conduct

CAI's Code of Conduct supports the collective wellbeing.

A code of conduct is a collection of rules and regulations that include what is and is not acceptable or expected behavior. Responsibility is shared equally among event organizers, the event venues and the event attendees – all have a role to play.

Based on our common set of beliefs in the value of live event experiences we know to be true, as stakeholders we all have a role to play in the mitigation of risk. The code of conduct below is meant to serve as a reminder and inspiration to know that if we all collectively respect the significance of this contribution, we are by definition advocating for the well-being of our fellow global citizens and our industry.

Before Leaving Home

  • Follow relevant guidance provided by the Center for Disease Control and Prevention (CDC), or your local health authority.
  • Adhere to government issued travel restrictions and guidance issued by the region you will be travelling to and the region you are travelling from.
  • Evaluate your own health and that of people you are in close contact with; contact the meeting/event organizers if you have concerns.
  • Stay home if you feel sick

On-site During the Event

Follow guidance from the local health authority, for everyday preventive actions to help prevent the spread of respiratory viruses including:

  • Washing hands often with soap and water for at least 20 seconds, or an alcohol-based sanitizer with at least 60% alcohol.
  • Avoiding touching eyes, nose, and mouth with unwashed hands.
  • Covering your nose and mouth when coughing or sneezing. Throw used tissues in the trash.
  • Cleaning and disinfecting frequently touched objects and surfaces using a regular household cleaning spray or wipe.
  • Agree to wear a mask or facial covering, if required by the event organizers.
  • Adhere to social distance protocols put in place by the event organizers and respect others' personal space.
  • Do not attend any onsite events if you feel unwell or are experiencing flu-like symptoms.
  • Failure to follow local health authority requirements at the time of the meeting – Individual will be asked to leave the meeting and will not receive a refund. 

Post-event

Based on current contact tracing advice from many health authorities, if you test positive for COVID-19 up to 14 days after returning home, please contact the meeting/event organizers to advise them.

CAI Attendee Anti-Harassment Code of Conduct

Adopted by CAI Board of Trustees September 2018

Objective

Community Associations Institute (“CAI") is committed to providing a professional environment that is free from harassment and discrimination in which all individuals, including employees, members, and volunteers, are treated with respect and dignity. Each individual has the right to work in a professional atmosphere free from unlawful harassment, discrimination, and retaliation.

This policy applies to conduct by employees, members, and volunteers of CAI, including board, council, and committee members, and applies to complaints of harassment that involve employees, members, and volunteers of CAI at all CAI events including, without limitation, board, council, and committee meetings, conferences, and all other CAI programs and events.

In order to provide all participants at events, including members and other attendees, speakers, exhibitors, sponsors, employees, and volunteers, the opportunity to interact professionally and benefit from the event, CAI is committed to providing a safe and productive environment free of discrimination, hostility, harassment, and retaliation based on race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law.

CAI has a zero-tolerance policy for discrimination, harassment, and retaliation and is committed to enforcing this policy at all CAI events.

Equal Opportunity

It is CAI's policy to ensure equal opportunity without discrimination or harassment on the basis of race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law. CAI prohibits all such discrimination and harassment.

Harassment Defined

Harassment on the basis of any protected characteristic is strictly prohibited. Harassment includes verbal, written, or physical conduct that denigrates or shows hostility toward an individual on the basis of any of the above listed protected factors and that: (1) has the purpose or effect of creating an intimidating, hostile, or offensive environment; (2) has the purpose or effect of interfering with an individual's performance or ability to participate in CAI events; or (3) otherwise affects an individual's ability to participate in CAI events and activities.

Harassing conduct includes epithets, slurs, or negative stereotyping; threatening, intimidating, or hostile acts; denigrating jokes, offensive texts, and emails.

Sexual harassment means any unwelcome conduct, comment, gesture, or contact of a sexual nature, whether on a one-time basis or in a continuous series of incidents that might reasonably be expected to offend, embarrass, or offend an individual. Sexual harassment also includes any unwelcome sexual advances, requests for sexual favors, and other verbal or physical unwelcome conduct.

Prohibited Conduct

As a professional organization, CAI is committed to diversity, equity, professional treatment of ideas, and respectful treatment of all members, volunteers, and employees at all CAI events. CAI seeks to provide a professional atmosphere in which diverse participants may learn, network, and participate in an environment of mutual respect. Conduct that is prohibited includes:

  • Harassment or intimidation based on race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law
  • Sexual harassment or intimidation, including unwelcome sexual attention, stalking, or unsolicited physical contact
  • Harassment, intimidation, or coercion based upon a position as a board member, committee member or any position of influence
  • Abusive, lewd, or threatening conduct
  • Bullying, harassment or unprofessional conduct toward employees, volunteers, members, or other participants at CAI events
  • Physical violence or threats of violence
  • Sexually charged communications or conduct

Reporting Acts of Discrimination, Harassment or Retaliation

CAI cannot take action to stop conduct if it does not know of the conduct. CAI encourages reporting of all perceived incidents of discrimination, harassment, or retaliation, regardless of the offender's identity or position. Individuals who believe they have been the victim of such conduct should report their concerns to CAI's Chief Executive Officer or President. In addition, CAI encourages individuals to advise the offender that his or her conduct is unwelcome and to request that it be discontinued, if they feel comfortable so doing.

CAI encourages the prompt reporting of complaints of concerns so that immediate action can be taken, if appropriate. An individual making a complaint may be asked to put the complaint in writing.

In the event that an individual feels that his or her physical safety is in jeopardy, CAI encourages the individual to contact the appropriate law enforcement agency to make a report.

Any reported allegations of harassment, discrimination, or retaliation will be investigated promptly. The investigation may include individual interviews with the parties involved as well as witnesses to the conduct.

CAI will maintain confidentiality to the extent consistent with appropriate investigation and corrective action.

If it is determined that an individual has engaged in prohibited conduct, CAI shall determine the appropriate action to be taken, which may include, but is not limited to:

  • P​rivate reprimand
  • ​Expulsion from the CAI event without warning or refund
  • Implementation of conditions upon attendance at future CAI events
  • Removal of the individual as a board, council, or committee member
  • Restriction from attendance at future CAI events
  • Revocation of membership in CAI

Retaliation

Retaliation against an individual for reporting harassment or discrimination or for participating in an investigation of a claim of harassment or discrimination is a serious violation and is strictly prohibited. Acts of retaliation should be reported immediately and will be promptly addressed.
