Booth selection order is based on a first-come, first-served basis. Within a week of registr​ation, an email will be sent from eShow (via Carly Reid), with your date/time to select your booth (be sure to check your SPAM folder). There will be a link and password provided and you'll be able to view the floorplan, booth availability and select your booth.​
​Note: the Expo Hall floorplan is a LIVE document – CAI CANNOT guarantee the booths that are available today, will be available once it is your turn to select and CAI does NOT reserve booths.

Expo will be open for three hours on Thur, June 11 and Fri, June 12. ​Exact times will be confirmed at a later date.

​Exhibitor Personnel Rules

  • Four booth staff are included per booth contracted (i.e. Single=4 staff; Double=8 staff; Triple=12 staff; and Quad=16 staff)
  • Please add all your booth staff to the ESC. If you need CAI to resend you the link to the ESC, please email Carly Reid at creid@caionline.org
  • If you plan on having more staff than what your booth is allotted, you must assign days to booth personnel
  • Booth personnel CANNOT be switched-out during the same day, but you can switch from Wednesday to Thursday to Friday
  • Badges will only be given to those staff on th​eir assigned day (e.g. – Wednesday badges must be returned in order for Thursday staff to receive their badges)
  • Badges are required to enter the expo hall. Security will be provided​

​Exhibitor Additions

Mystery Booth
​Participate a Mystery Booth Exhibitor and get attendees to your booth! Cost is $100. 

  • Pay $100 to participate as a Mystery Booth​ Exhibitor
  • Your company is in the mystery booth flyer and has a mystery booth table stand to display at your booth (CAI to provide the stand)
  • Attendees will stop by your booth and drop off their business cards (you provide bowl or vase)
  • Companies are drawn on Thursday and Friday as a Mystery Booth Exhibitor
  • The booth winners then pick a card from their bowl of attendee cards
  • Winning exhibitors will give away cash to the winning attendee​

hibitor & Sponsor Policies

What to Wear: 
CAI's Annual Conference and Exposition is a professional event, so business casual wear is strongly encouraged. 

Consent to Use of Photographic Images: 
Registration and attendance at, or participation in, CAIs Annual Conference & Exposition constitutes an agreement by the registrant to CAI's use and distribution (both now and in the future) of the registrant or attendee's image or voice in photographs, videotapes, electronic reproductions and audiotapes.

Exhibit Eligibility:
​Exhibiting companies will be limited to those providing services, products or publications that are directly applicable to managers of community associations, homeowner leaders in community associations and business partners that service community associations.

Terms and Policies:
Full payment must be received before CAI holds expo booth space. CAI reserves the right to refuse any exhibitor and/or sponsorship application or to cancel any prepaid exhibitor and/or sponsorship it deems appropriate to avoid conflicts of interest. CAI will refund payments for canceled sponsorships. Sponsorship refunds or cancellations cannot be made after any promotional materials have been created.

Cancellation
Cancellation: All payments will be refunded if notification of cancellation is received in writing by November 22, 2019. No refunds will be made after November 22, 2019.

Staffing of Exhibits – Exhibits must be staffed at all times during exhibit hours. CAI requests strict adherence to the opening and closing hours. It is imperative that no exhibitor begins dismantling, packing or teardown of their space until Friday, June 12, 2020 at 3:15 p.m.

Failure to Occupy Space: Space not occupied by the close of the installation period will be forfeited, and space may be resold, reassigned or used by CAI. No refunds will be made for failure to occupy space.

Private Party Policy - All hospitality suites and hosted events must be approved by CAI. Hospitality suites/hosted events are not permitted during official conference activities. Non-exhibiting companies/groups/individuals are not permitted to host OR attend events at the official hotel during the conference. CAI Suitcasing Policy - CAI has a no-tolerance policy regarding “suitcasing," which describes the practice by nonexhibiting companies or individuals of soliciting sales or sales leads in conference hotel, on the tradeshow floor, in the aisles or lobbies and/or representing their services or soliciting conference participants for conflicting social activities (including Chapter Party) and wearing company logo wear.

​Nonexhibiting suppliers participating in the conference as attendees or speakers are prohibited from soliciting business on the tradeshow floor, in or after sessions, or in the con​ference hotel.

It i​s considered bad form to conduct business outside of your booth. Talking to clients or prospects in or in front of someone else's booth is also a violation of CAI policy and will not be tolerated. All parts of the exhibit must remain in exhibitor's assigned space. No exhibit will be allowed to infringe upon aisle space.

Violators of these policies will be ejected from the show and charged the single-booth rate ($2,100), which must be paid prior to registering as an attendee, exhibitor, or sponsor at any future CAI conference or other event. In addition, CAI will have the hotel cancel the illegal function at violator's expense.​
